AI Agents & Automation
AI agents and workflow automation with human review where it matters
Astaria Sec Ltd builds AI agents for high-volume, low-judgement work: triage, drafting, summarising and routing. Consequential actions require human approval, and every step is logged so decisions can be explained afterwards.
The problem
What this work is usually brought in to solve
- Skilled staff spend hours a week on sorting, copying and re-keying between systems.
- Enquiries wait in a shared inbox because nobody owns triage.
- Reporting is assembled by hand each month and is out of date by the time it circulates.
- Off-the-shelf AI tools have been trialled, but nobody could evidence what they did with the data.
- Leadership wants the benefit of automation without the risk of an unsupervised system acting on its own.
Outcomes
What changes for your organisation
- Hours returned to the team
- Repetitive handling absorbed by the agent, with staff time moving to the work that needs judgement.
- Faster first response
- Enquiries triaged, categorised and routed on arrival rather than at the next inbox sweep.
- Decisions you can explain
- A complete log of inputs, outputs and approvals, so any action can be reconstructed on request.
- Contained risk
- The agent drafts and proposes; a person approves anything involving money, personal data or public contact.
Deliverables
What you receive
- Workflow assessment
- The current process mapped step by step, with volumes, handling time and the points where judgement is genuinely required.
- Automation design
- What the agent does, what it never does, the approval points and the fallback when it is unsure.
- Working agent
- Built against your systems, with prompts, tools and guardrails under version control.
- Human review interface
- A queue where a person sees the proposed action, the reasoning and the source, and approves or rejects it.
- Audit logging
- Every input, output, approval and rejection recorded and retained to an agreed schedule.
- Evaluation and handover
- Accuracy measured against a real sample before go-live, plus documentation and training for your team.
Our approach
How we deliver it
01Assess
We watch the real process and count it. Automating a badly designed process just produces bad output faster.
02Choose carefully
We automate high-volume, low-judgement steps. Where judgement matters the agent prepares the decision for a person.
03Define the guardrails
Explicit limits on what the agent may do unaided, and required approval for money, personal data and outbound contact.
04Build and evaluate
Tested against a sample of real historical cases, with accuracy and failure modes written down before launch.
05Pilot with review
A supervised pilot on live work, with every action approved, so behaviour is observed before autonomy widens.
06Operate and monitor
Ongoing monitoring of accuracy, cost and exceptions, and a documented route to switch it off.
Where it applies
Sector and use-case examples
- Council casework triage
- Incoming reports classified, deduplicated and routed, with the resident reply drafted for officer approval.
- Clinic administration
- Enquiry summarising and appointment admin, with patient-identifiable data handled under strict controls.
- Finance and back office
- Invoice and document extraction into existing systems, exceptions raised for a person rather than guessed.
- Reporting
- Recurring reports assembled from source systems on a schedule, with the figures traceable to their source.
Standards
Standards and considerations we work to
- Human approval required for any action involving money, personal data or contact with residents, patients or customers.
- UK GDPR and the Data Protection Act 2018, including lawful basis, data minimisation and a DPIA where the processing warrants one.
- Full audit logging of inputs, outputs and approvals, retained to an agreed schedule.
- No training of third-party models on your data without explicit, documented agreement.
- Accuracy measured against a real sample before go-live, and monitored afterwards.
- A documented off switch and manual fallback for every automated step.
Suitability
Who this is for
- Teams with a repetitive, high-volume process and a measurable backlog.
- Public bodies that must be able to explain and audit an automated decision.
- Healthcare organisations needing automation that respects patient confidentiality.
- Organisations wanting a bounded pilot before any wider commitment.
Questions
Frequently asked questions
Will an AI agent make decisions about people?
Not unsupervised. Anything affecting a person, their money or their data is drafted by the agent and approved by a member of your staff before it takes effect.
What happens to our data?
We agree the lawful basis, the retention period and the processors before anything is built, and we do not allow your data to train third-party models without your written agreement.
How do we know it is accurate?
We evaluate against a sample of your real historical cases before launch and report the accuracy figure. Monitoring continues after go-live.
What if it gets something wrong?
Every action is logged and reversible at the approval stage, and each automated step has a manual fallback and a documented off switch.
Do we need to replace our existing systems?
No. Agents work alongside the systems you already pay for, reading and writing through their existing interfaces.
How do we start without committing to a large programme?
With a workflow assessment on one process, followed by a bounded supervised pilot. If the numbers do not justify going further, we say so.
