Digital Product Development

Digital product development: portals, booking and internal tools

When a website is not enough, Astaria Sec Ltd builds the service behind it. Self-service portals, booking, case management and internal tools, integrated with the systems you already run and released in working slices rather than one launch date.

The problem

What this work is usually brought in to solve

  • People phone or email because there is no way to check, apply, book or pay online.
  • A critical process runs on a spreadsheet that three people maintain and nobody trusts.
  • Work arrives through several channels and there is no single view of what is outstanding.
  • Two systems you already pay for do not talk to each other, so someone re-keys between them.
  • A previous project ran for a year and delivered nothing usable until the end.

Outcomes

What changes for your organisation

Demand shifted online
Routine requests handled by self-service, so the team's time goes to the cases that need a person.
A single view of work
Requests tracked from arrival to resolution, with an audit trail rather than a memory of who did what.
Less manual re-keying
Systems integrated so data is entered once and flows to where it is needed.
Value before the final milestone
The first usable slice is in real use early, which keeps risk visible and budget defensible.

Deliverables

What you receive

Service definition
The users, the tasks, the volumes and the success measures, agreed before anything is built.
Self-service portal
Somewhere people can check, apply, book or pay without phoning your team.
Case and request management
Work tracked from arrival to resolution, with status, ownership and an audit trail.
Internal tools
A replacement for the spreadsheet, with validation, permissions and a history of changes.
Integrations
Connections to the finance, CRM, clinical or line-of-business systems you already pay for.
Documentation and handover
Technical documentation, admin training and a support arrangement if you want one.

Our approach

How we deliver it

  1. 01Understand the service

We follow a real request end to end, including the workarounds, before proposing a system.

  2. 02Define the first slice

The smallest piece that is genuinely useful in live operation, chosen so it can be released on its own.

  3. 03Build in slices

Each slice includes its own security review, accessibility testing and documentation, not a phase at the end.

  4. 04Release early

The first slice goes into real use, and what we learn there shapes the rest rather than being logged for later.

  5. 05Integrate deliberately

Connections to existing systems are built with failure handling, because the other system will be unavailable sometimes.

  6. 06Operate and improve

Monitoring, support and a prioritised backlog you control, with the code and documentation handed over.

Where it applies

Sector and use-case examples

Council self-service
Reporting a problem, applying for something or paying, with status visible to the resident afterwards.
Clinic booking
Appointments, deposits and confidential intake forms, handled to the standards patient data requires.
Grant and application handling
Structured submissions, assessor workflow and a defensible record of every decision.
Operations tooling
Scheduling, stock or job tracking for teams currently coordinating through email and spreadsheets.

Standards

Standards and considerations we work to

  • WCAG 2.2 AA for every user-facing screen, including authenticated and administrative ones.
  • UK GDPR and the Data Protection Act 2018, with data minimisation, retention periods and a DPIA where warranted.
  • Role-based access control, audit logging and encryption in transit and at rest.
  • Secure development practice informed by the OWASP Top Ten, with dependency scanning in the pipeline.
  • Documented backup, recovery and incident procedures before a service carries real work.
  • For public sector work, the Service Standard and Technology Code of Practice where they apply.

Suitability

Who this is for

  • Organisations whose process has outgrown email, spreadsheets and phone calls.
  • Public bodies replacing a legacy system without a multi-year programme.
  • Clinics and practices needing booking and intake that respect confidentiality.
  • Teams who want working software early rather than a single distant launch.

Questions

Frequently asked questions

How is this different from a website project?

A website mainly publishes information. A digital product handles transactions and work: accounts, records, workflow, permissions and integrations, with the operational requirements that come with them.

Do we own the code?

Yes. The code, the documentation and the infrastructure configuration are yours, and we hand over everything another supplier would need.

Can it work with our existing systems?

Usually. If a system offers an interface we integrate with it; if it does not, we agree a pragmatic alternative rather than pretending the constraint is not there.

How long until something is usable?

The first usable slice typically lands within six to ten weeks. It is deliberately small, and it goes into real use rather than a demonstration.

How do you keep it secure?

Role-based access, audit logging, encryption, dependency scanning and a security review in each slice, with backup and recovery proven before live data arrives.

What happens after launch?

You can take it in-house with the documentation, or keep us on a support arrangement covering monitoring, updates and a prioritised backlog you control.
